Job description:
The primary purpose of the role is to provide logistical planning, coordination and support for External Relations (ER) Corporate.
The role reports to the ER Operations Manager although the successful candidate will work closely with Leadership Team members.
Key accountabilities
Own and maintain calendar of events, business milestones, team activities
Plan and manage a range of internal and external events and work with appropriate teams to ensure successful delivery. This will include organisation of meetings, diaries and venue organisation both for face to face engagements and webcasts.
Maintain distribution lists and contact information. Support outreach to stakeholders with respect to new disclosures such as scenarios, sustainability report etc.
Support meetings including debriefs and workshops with key external suppliers, agencies and other partners, taking notes and following up on action items.
Support ER Teams in overall day-to-day communications activities including coordination calls within ER.
Communicate updates to relevant internal audiences both in ER and other functions such as quarterly emails to focal points to review/update content.
Support with tools: e.g. SharePoint and Yammer - updates and maintenance, create and manage a user friendly and interactive ER SharePoint environment to store and manage content including uploading and managing content to SharePoint.
Research to source internal and external information such as reports, publications and other materials and insights or stakeholder identification and analysis. Sourcing and developing best practice insights.
Requirements:
Self-starter showing high degree of personal initiative
Capable of interfacing and coordinating with wide variety of groups
Strong organisational and interpersonal skills to communicate effectively, often working with remote teams.
Strong time management skills and ability to prioritize multiple activities efficiently and accurately – but also comfortable with changes and urgent re-prioritizing, problem solving skills.
Strong organisational, coordination and negotiation skills with a keen eye for detail. Good at time management;
