About the Opportunity

Dentons Business Services EMEA is currently seeking a Senior Billing Specialist with French to join our French Billing team focused on timely billing and keeping high quality standards of produced invoices for Dentons Paris Office. Based in Warsaw you will be accountable for billing support as well as coordination of various projects and initiatives related to continuous improvement of delivered service and products for our French operations. You will be working very closely with Process Owner (PO), Service Delivery Lead (SDL), Cluster Revenue Managers (CRMs) as well as Partners (lawyers) and our Paris Office as a result fluent/native level of French is essential to succeed in the role alongside ability to build strong lasting relationship with remote stakeholders (internal and external).

About the role

  • Manage billing to ensure accurate and timely completion of accounts receivable transactions: prepare bills in cooperation with Partners, their Personal Assistants and local Revenue teams when applicable,  ensure Partners’ billing is complete before  month end and meets  expectations, follow up on client budgets and deadlines, monitor terms of client engagements and charge out rates and discounts, process e-bills,  ensure quality checks,  proper reporting  and reconciliation of data with clients or local offices
  • Collect the bills from vendors and outside legal services providers and verifies the amount before issuing invoice
  • Make the data quality check on matter before issuing invoice (billing address, contact details, VAT application, billing templates, Cross region data, e-billing data, etc)
  • Communicate client billing guidelines to the Partner when needed
  • Assist with accurate maintenance of timekeeper rates, task and activity codes, cost exemptions and billing information pertinent to specific clients/matters
  • Comply with the firm's policies , procedures ( ISO) and any other legal obligations, and effectively address risks to the firm where those risks relate to this role
  • Resolve billing issues and escalations to ensure client satisfaction First level of contact and quality control regarding operational/billing queries), cooperate  Cash Collectors to resolve client queries and take care of credit notes / reissuances of invoices
  • Report and discuss with SDL established objectives  and KPIs with required actions to drive results and commitments
  • Participate in billing campaigns driven by CRMs and help your Partners to achieve the monthly and yearly billing targets
  • Collaborate with multiple stakeholders (Partners, Personal Assistants, Local Revenue teams, Clients, Finance, IT, Risk, Financial Systems, Reporting etc.)
  • Create required process documentation and operating procedures, stabilize operations, ensure transitions are completed seamlessly and able to work independently
  • In cooperation with PO and CRM participate in process harmonization and, where required, process centralization in order to improve effectiveness
  • Support effective governance and participate in calls with Partners and the local offices 
  • Operate in agile and flexible way within the complex matrix and team of teams approach
  • Collect regular Partner’s feedback (if required) and support resolution of complaints
  • Actively support implementation of new solutions and tools in to the billing process
  • Drive continuous improvement in the day-to-day tasks and tools used, lead projects/initiatives and campaigns to improve billing.

About You

  • 5-8 years’ experience in Accounts Receivable in multinational organization (billing process and other general accounting procedures)
  • Experience in knowledge transfer, process stabilization and working with KPIs
  • Proven experience in working with internal and external clients , excellent customer service focus
  • Excellent  interpersonal and communication skills in both English & French in writing and speaking
  • Pro-active approach with ability to work effectively with limited supervision 
  • Continuous improvement mind-set and challenging  “status quo” and demonstrating initiative
  • Resourceful and demonstrate strong problem solving skills (“growth mind-set”), with the ability to make judgment calls in an experienced and professional manner
  • Familiar with complex matrix organisations and team of teams approach
  • Able to work effectively and positively with individuals at all levels within a team-oriented environment
  • Ability to focus on detail and follow-through on commitments
  • Ability to prioritize and multi-task particularly when working under pressure and to tight deadlines
  • Hardworking and enthusiastic approach to work; professional in outlook, attitude and appearance
  • Able to ensure all firm policies and control procedures are met
  • Flexible and prepared to work additional hours when required, e.g. at month, quarter and year ends
  • Experience with the Elite financial system and e-billing platforms will be an advantage
  • Excellent computer skills including very good practical knowledge of MS Office (Word, Excel, Power Point, etc.).
