The HRdirect Europe team is the primary “voice” of HR serving as the main point of contact for BBH Europe employee inquiries. The team is focused on the continuous advancement of the HR client experience including day-to-day client (managers, employees and HR professionals) interaction while also acting as the centralized resource for HR administration tasks.

 

Join us as a HR Senior Specialist

 

As a member of the HRdirect Europe team, the HR Senior Specialist is responsible for maintaining a high level of support to our clients by responding to e-mail, case management system and telephone inquiries. The HR Senior Specialist will also provide support to the HR senior management team and the HR department. The position is required to develop a deep understanding of HR policies and procedures and gain "hands-on" client service experience in a fast paced environment.

 

 

Key responsibilities include:  

  • Answering client inquiries through case management system, phone and mailbox. Exemplify high client service standards by demonstrating timely, accurate and professional verbal and written correspondences with clients, managers and members of the HR team
  • Responding to employees inquiries on Polish labour law regulations, BBH global policies and initiatives.
  • Escalating issues as needed to different HR subject matter experts (i.e., HRBPs, Payroll, Talent Acquisition etc.)
  • Acting as the first line of response from an HR standpoint for employees impacted by a policy change.
  • Ability to develop credibility with diverse groups; must be comfortable interacting with senior management.
  • Working closely with the HRdirect manager to stay informed of client activity, changing needs and help identify opportunities for improving the client experience.
  • Responding to ad hoc requests from HR BPs, HR Manager, national authorities.
  • Assisting employees in completing documents related to social insurance, sick leave, taxes, maternity and parental leave, occasional leave etc.
  • Managing the probation period process: liaise with managers, collect review forms, issue new contracts and confirmation letters for employees.
  • Creating various HR documents and agreements on employment condition changes: position & salary change, internal transfer, promotion etc.
  • Helping to manage the termination process, provide guidance to managers and vendors.
  • Completing reference requests received from external parties for former employees, issue employment confirmation letters for current employees.
  • Supporting benefits administration: provide information on new applications, changes, terminations to benefits vendors.
  • Contacting with benefits providers if needed, facilitate benefits events and projects.
  • Reviewing processes and update procedures.
  • Focusing on process improvement and propose enhancements to gain efficiencies in the team.
  • Seeking partnership and collaborate with different teams on process improvement.

 

Qualifications:

  • Bachelors Degree in HR or related disciplines a plus.
  • Working knowledge of Polish labour law regulations.
  • 2-3 years of experience working in HR Administration is a must.
  • Excellent communication and problem solving skills.
  • Fluency in English and Polish required.
  • Good language skills in French and/or German welcomed.
  • Strong interpersonal skills and the ability to interact at all levels of the organization with diplomacy and professionalism.
  • Ability to manage multiple and conflicting priorities in a fast paced environment, while meeting deadlines.
  • Ability to adapt to change as it occurs in numerous areas within HR.

  • Aptitude to manage large enquiry (call/email) volume, well- organized.
  • Ability to handle sensitive and confidential employee data with discretion and professionalism.
  • Strong PC skills, including Microsoft Office.
