Your responsibilities would include:
  • Coordinating the Director calendar/agenda by planning/confirming appointments with both internal and external parties
  • Managing meeting logistics, including agenda distribution, facilities, food & beverages, video-conference settlement and travel arrangements (including governance meetings)
  • Preparing meetings documentation and when relevant take the meeting’s minutes/follow-up on the planned actions (including governance meetings)
  • Managing travel and accommodation arrangements for Director FSS and managers
  • Receiving internal and external visitors and accompany guests
  • Screening and handling mail, e-mails and incoming calls to appropriate party promptly and efficiently
  • Controlling access to Director FSS either by telephone call answering or managing requests for access
  • Collecting and/or (independently) supplement relevant information needed for adequate handling of communications
  • Processing various forms of  correspondence; prepare background documents and outgoing mail as necessary
  • Storing, organizing and managing files
  • Typing, editing and proofreading documents
  • Assisting with preparation of presentation materials
  • Preparing and distributes (standard) reports and documents
  • Project support, e.g. managing (and creating) project schedules
  • General administration tasks/ad hoc requests.
  • Preparing expense claims
  • Monitoring, recording and reporting expenditures on a regular basis
  • Identifying and implementing continuous improvement opportunities
  • Driving his/her own personal development, functional competencies and business knowledge by creating, agreeing and implementing his/her Development Plan
  • Performing any other task assigned within the scope of functional responsibilities

  • You have experience in relevant area
  • You have excellent communication and presentation skills 
  • You are well organized and able to work under time pressure
