Position purpose

We are looking for a candidate to perform administrative and project management duties for and on behalf of the Executive Management, VPs, Directors and Senior Management representatives. The purpose is to deliver the highest standard of support as a first point of contact and create professional image of the Superiors and the company among Clients and coworkers. 

Main accountabilities
  • Support event management; on request join meetings/calls, take meeting notes, collate and distribute them and take required actions 
  • Timely and accurate execution of given tasks and projects management activities related to the respective VPs 
  • Evaluate information from team calls and reports to determine those that require action; plan, develop, and maintain a system to generate reminders for completion deadlines
  • Responsible for administrative management and coordination of AIE Stockholm and Malmo (Innovation Lab) 
  • Support in various Superior’s projects 
  • Procurement support 
  • Liaison with clients and close collaboration with staff across all units/departments on behalf of the Superiors and during their absence 
  • Inbox management 
  • Maintenance of contact lists, mailing lists 
  • Knowledge of global and local policies and ability to action them 
  • Collate and distribute: weekly, monthly newsletter 
Requirements
  • Graduate with minimum 2-3 years of experience as an office administrative assistant 
  • Good working knowledge through experience of office administration 
  • Fluent English communication skills (Oral, Written & Presentation) 
  • Advanced knowledge of MS Office package (including PPT) 
  • Strong computer and Internet research skills 
  • Strong organisational skills
