External Relations Operations Advisor - Programme Coordinator

Job description:

The Group Crisis Management (GCM) Programme Coordinator role forms part of the back-office support to the GCM team. The primary purpose of the role is to provide extensive training scheduling, event coordination and PMO activities such as managing project plans and project documentation.

 

  • Work closely with the GCM team to develop and identify schedules for the global validation programme of training, exercise and assurance. 

  • Take ownership of and be responsible for developing and maintaining the training calendar,

  • Actively manage the diarising of calendars. In addition, have the ability to improvise, come up with a back-up plan, and negotiate with team members in case of last minute changes. 

  • Update project plans to ensure that the delivery programme is tracked correctly and efficiently. 

  • Schedule timely project meetings and develop the agenda to ensure that all relevant items are covered; help in capturing the minutes from meetings to provide record of decisions and actions. 

  • Help in development of project and programme collateral documentation

  • Identify travel requirements for GCM training team

  • Manage the logistical requirements for setting up and running of virtual training sessions, managing IT and teleconferencing technical issues as they arise, work closely with Shell IT and support desk. 

  • Ensure post-training feedback is received. Provide timely and accurate reporting on training status, against plan, budget, etc. 

  • Manage the GCM SharePoint expertise centre and the Group Crisis Directory,

  • Be prepared to step-in for occasional out-of-office hours when required to support the training team. 

  • Ad hoc admin support to the Head of Crisis Management and GCM team.  

 

Requirements:

  • University degree

  • English min. C1 

  • Skilled in stakeholder management and customer focused

  • Strong organisational and interpersonal skills required to communicate effectively, both locally and across regions. 

  • Ability to work to deadlines, with high attention to detail. 

  • Strong time management skills and ability to prioritize multiple activities efficiently and accurately

  • Planning skills

  • Negotiation and influencing skills

  • Utmost integrity to work with confidential matters

  • High level of IT understanding (in particular Outlook Mail and Calendar functions, Excel, PowerPoint,  Lync, SharePoint, Trim and SAP TMS).
