JOB RESPONSIBILITIES:

The Depositary Manager is responsible for managing the Depositary Group. In order to efficiently and effectively manage the operations of the Depositary, the Team Manager focusses in particular on the following:


Goal setting and organizing

The Depositary Manager (Officer) sets the operational goals for the Depositary group as a whole, and the operational and personal development goals for the individual team. This includes:

  • Assigning and communicating responsibilities within the team.
  • Managing the work flow of the team.
  • Discussing on a weekly basis the priorities for that week with the team members (A1-SA).
  • Setting clear, realistic, and challenging development goals for team members.
  • Chairing a regular Team Meetings and assuring any action points are clearly allocated and time framed.

 

Observing and supporting

The Depositary Manager (Officer) observes the status of the operations and provides additional management attention whenever needed. This includes:

  • Quality controlling the work conducted both in terms of quantity (finishing the daily tasks) and quality (outcome of the work). Focus points for quality control are: timeliness, accuracy, and completeness of work conducted. Discussing the outcomes with the team members and/or agreeing on a resolution plan where necessary.
  • Hosting regular one-on-one meetings, providing feedback, and give or arrange coaching where necessary.
  • Hosting performance reviews. Describe the witnessed development of the team member and agree on the focus points for the coming months.
  • Managing any interpersonal conflicts within the Depositary Group.

 

Risk management and management information

The Depositary Manager (Officer) manages the risks within the Depositary Group, on an operational and a human resources level. The Depositary Manager keeps the Department Senior Manager or Head (AVP or VP) informed of problems and successes within the Depositary Group. This includes:

  • Demonstrate deep understanding of UCITS and AIFMD regulations.
  • In depth knowledge about Investment Fund lifecycle and understanding the interactions between all parties involved.
  • Conducting resolution sessions with team members when needed due to quality of work or communication style issues.
  • Ability to identify process risks, propose immediate remediation actions and implement successfully.
  • Meeting with the Department Senior Manager or Head (AVP or VP) on a regular basis and assuring that after this meeting, the Department Head is aware of:
    • Any issues regarding the timeliness, accuracy and completeness of all work conducted within the Depositary Group. 
    • Any needs that need addressing, whether technical or staffing based.

 

Specific Duties:

  • Ensure team/group is achieving accuracy and meeting pre-determined deadlines
  • Carry out responsibilities fairly and impartially; create and maintain an engaged work environment and ensure appropriate communications channels are in place
  • Assist in developing and implementing new workflow approaches and methods as well as system enhancements
  • Collaborate with internal and external groups to identify, analyze and proactively resolve issues
  • Key point of contact for internal clients when urgent needs arise
  • Authority to hire, discipline, control work and terminate employment for direct reports and broader team as needed
  • Provide coaching and development opportunities to staff
  • Accountability and responsibility for completing and delivering performance reviews on time
  • Ensure SOPs/regulations are met and escalate as needed
  • Product expert for COE. Comprehensive and demonstrated knowledge of overall process and operating model
  • Identify all risk issues, breaches and suspicious transactions and act in accordance with the 'risk' escalation chain and operating procedures
  • Implement and communicate to staff, advise changes to the risk framework and/or escalation chain

 

SKILLS AND QUALIFICATIONS:

  • Degree in Accounting or Finance or Business related area
  • ACCA/CIMA/ACA/CPA/CFA qualified or part qualified an advantage
  • 5+ years experience in finance, custody or fund administration would be recommended
  • Proven team leadership experience and people management skills
  • Ability to work under pressure and to tight deadlines
