The Team:

The International R&C team oversees risk and compliance across Asia Pacific (APAC), Europe, Middle East and Africa (EMEA), Latin America (LATAM) and Canada, encompassing all risk and compliance disciplines, businesses and legal entities. The team provides holistic, enterprise-wide support and challenge to the regional management teams and lines of business across all International locations, as they pursue growth opportunities outside the U.S. 

Role Scope:

To act as the confidential Executive Assistant to a team of Risk and Compliance (R&C) senior leaders.  

Independently completes the full range of advanced administrative activities which are frequently diverse, highly complex in nature.  Effectively prioritise the needs of the executives as prescribed by established guidelines, managing competing requests and switching focus as needed, often required to negotiate prioritisation of administrative activities.  Evaluates non standard problems and uses judgement to develop appropriate solutions and procedures.  Operates effectively with a significant degree of time management and work method/approach latitude.  Responsible for the detail interaction and management of communication with the assignment executive team members.  Interactions are sometimes at the leadership level.  Appropriately and effectively addressing highly complex issues escalated to the assigned executives being supported. 

Job Description

The ideal candidate should have excellent verbal and written communication skills, first class organisation skills, well-developed decision-making abilities, and excellent time management. 

  • Able to manage complex busy senior leadership diaries
  • Liaise with executive and senior administrative assistants to handle requests/queries from senior managers
  • Support the management of the senior executives’ in-boxes, escalating and actioning items as appropriate, including close engagement other senior International R&C leadership colleagues 
  • Ability to prepare and distribute meeting agendas, take detailed meeting minutes, proofread documents, reports and other materials
  • Book and coordinate travel arrangements, submit expense reports 
  • Typically conducts a range of administrative assignments related to the smooth operation of the assigned executive team including production of materials that may be sensitive in nature, scheduling, logistical arrangements, and liaising with participants, speakers, and vendors
  • Appropriately and effectively address highly complex issues escalated to assigned members of the team
  • Understand the department policies and procedures and be the source of information to the team
  • Help coordinate team activities, conferences, events, townhalls, help with ordering office supplies etc
  • May be required to coordinate special projects and tracking of information e.g. vacation, travel and expenses etc
  • Create and edit documents, spreadsheets, and presentations as and when required 
  • Performs advanced, diversified and often confidential administrative duties requiring broad and comprehensive experience, skill and knowledge of organizational policies and procedures

Qualifications:

  • The candidate must be proficient using the Microsoft Suite of applications, including Outlook, Word, Excel and PowerPoint. 
  • 5-10 years of total work-related work experience or a bachelor’s degree in lieu of some experience may be considered
  • A degree or relevant business certifications desirable.
