Your responsibilities


Executive Assistant will be responsible for delivering administrative and secretarial support to Vice President of Finance Operations Tax as well as Krakow Central Finance Lead and Country Chair of Poland.

  • Calendar management – full control of the agenda, review of the agenda and planning, set up priorities of the meetings, room booking
  • Business trips – flights, hotel and taxi booking, visa arrangements, agenda during business trip
  • Expense claims
  • Liaising with internal/external stakeholders & business partners– scheduling meetings or calls with external parties, external conferences
  • Support of senior visits (visits impacting whole Finance Operations community in SBO Krakow ~2000 people) as an assistant to the Central Finance Leader 
  • Hosting visitors (visitor passes requests/ interface with facilities & security team, booking rooms, arranging transfers, organizing lunches, catering etc.)
  • Maintain distribution lists and contact information
  • Support with tools: e.g., SharePoint and Yammer - updates and maintenance, create and manage a user friendly and interactive SharePoint environment to store and manage content including uploading and managing content to SharePoint.

Our requirements


Job Knowledge, Skills & Experience: 

  • Sound administrative/secretarial skill
  • Strong written and verbal English language skills 
  • Understanding latest technologies and IT tools (e.g. MS Teams, SharePoint, Skype, Webcasts etc.) 
  • Using office software such as MSWord, PowerPoint, Excel, Outlook, etc. 
  • Excellent interpersonal skills both face to face and on the phone 
  • Ability to work with minimal supervision and be a self-starter 
  • Ability to work under pressure and cope with last minute changes is essential
  • Data privacy and confidentiality given the sensitive nature or projects/pre-reads handled. Ability to hand highly sensitive situations with diplomacy and tact 
  • At peak times, flexibility in working hours outside the normal work pattern may be required
