Looking for open, proactive candidate to be part of Poland Administration Team, team that provides support to senior management within our organization. Ideally we are looking for someone with some experience in administrative assistance area with can do attitude and who will deliver high quality of administrative services to senior members of the management as well as support various administrative related tasks. Ideal candidate should be a self- starter with good planning skills and has the ability to quickly prioritize workflow in line with the dynamic nature of the role. This role offers unique range of dynamic tasks and interesting areas from working with the senior management to preparing visits and events to name a few.

What you will be responsible for
As Administrative Assistant you will
Working closely with the senior management team by providing daily diary management and support day to day wide variety of administrative tasks
Liaise with global team of Executive Assistants on local and international call set ups , 1:1’s, ad hoc meeting within Poland as well as stakeholders from other State Street locations globally
Be responsible for end to end travel arrangements for our management (flights, trains, hotels, restaurants) and proceed with the travel expenses settlements with the Finance Team
Candidate will also participate in planning and supporting visits by working closely with Poland Admin Team on logistics, drafting agendas, securing Videoconferencing support, caterings etc to make sure visits are planned in every details and go smoothly
We are looking for someone who will also manage and provide administration support and co- ordination around Poland wide initiatives, internal events, plan virtual schedule of events for the management
Candidate will also be assigned to manage and deliver additional administrative processes for example prepare Monthly Organization chart by working with the data management)
We are looking for someone to support the team members in the day to day workflow but also bring ideas and to work together to provide the best service to our key stakeholders
Holiday cover for other team members will also be part of the role meaning cross training with other team members and learning additional tasks in the process
You will also have a chance to cooperate with other Administrative Assistants locally and globally
Through the visibility of the role, you will be liaising with staff on all levels addressing the queries and redirecting accordingly

Education & Preferred Qualifications
Previous Administrative experience will be welcomed but training will be provided by the team
Fluent in English
Good knowledge of process management
Very good knowledge of Excel and other MS Office tools
Experience in events coordination
