Job description:
PURPOSE

The AP Projects and Solutions Delivery Manager will be a member of AP Process Excellence team with responsibility for the definition, coordination, implementation and control delivery of various strategic and operational projects/initiatives, both major, i.e. those set out in the AP IPP (Integrated Process Plan) as well as minor, i.e. related to a specific in-house improvement initiative, migration/divestment and/or ERP fix.

ACCOUNTABILITIES

 

  • Support Process Excellence Manager in definition and driving AP Process Excellence agenda with key focus on maintaining an integrated end-to-end process
  • Being up to date with regular AP process performance results to actively seek areas for further process improvement; leading various quality assurance and simplification efforts
  • Leading and supporting AP improvements connected with the evolution of Finance Operations as well as E2E RtP process
  • Identification of improvement opportunities and support in development of the AP CI project pipeline in collaboration with or directly acting as CI Focal Point, e.g. Idea Hub management
  • E2E management/coordination of projects/initiatives within the entire AP space (from Scanning and Document Management to Payments and AP Vendor Helpdesk) with specific responsibility and accountability for assigned projects/elements of projects; scope may vary from overseeing major projects set out in the AP IPP, through executing smaller departmental initiatives to management of divestments, mergers and acquisitions within the AP space and will require:
    • Definition of the project scope, goals, resources, timelines and deliverables
    • Understanding of requirements from a business perspective
    • Alignment on responsibility, ownership and next steps for specific project/initiative
    • Review of proposed solutions and alternatives
    • Identification and discussion of cross-workstream impacts
    • Monitoring of project progress, risk and prepare mitigation plan
    • Creation of schedule and project timeline, dashboard and other documentation
    • Implementation and management of change when necessary to meet project outputs
    • Development, oversight and execution of user acceptance testing (UAT) where required
    • Communication with stakeholders and reporting on progress as well as problems and solutions
    • Management of project resources both within own as well as external reporting lines
    • Evaluation and assessment of the result of project
  • Close collaboration with – but not limited to – the AP Process representatives at all levels in the organization, AP Process Super Users, CI Team, FO Operational Excellence, PGS Process Architects, PGS Process Experts, Business Excellence Team and various IT groups in terms of technology, project methodologies and best practice deployment
  • Coordination of work and change management initiatives with the Super Users Network to ensure robust solutions, waste elimination and right level of support and preparedness for the upcoming change  
  • Initiating, managing and monitoring updates to existing solutions (CR review, necessary approval and processing)
  • Effective interface with IT and other support groups for issues requiring their support

Requirements:
Bachelor’s or Master’s degree in Project Management, Business Process Improvement, Finance, Accounting, Economics or Business Administration

  • Good Finance and Accounting knowledge, including the use of technology enablers
  • Theoretical and practical project management knowledge, incl. tools and techniques with experience as a project manager/coordinator
  • Ability to develop and execute project/solution plans with experience in strategic planning, risk management and/or change management
  • Analytical, creative/innovative problem solving and critical thinking skills
  • Superior organizational skills, self-management/self-drive and ability to work without close monitoring
  • Ability to deal with competing priorities and complex issues and to take decisions without unnecessary delay
  • Adaptability and openness to uncertainty and change
  • Resilience under pressure (both internal and external) and conflict resolution experience
  • Min. 5-year experience in managerial (supervisor) roles
  • Ability to manage resources and deliver through others
  • Ability to drive efficiencies and foster process effectiveness
  • Very good communication, presentation and stakeholders’ management skills
  • Ability to adapt to the needs of diverse range of cultures and business disciplines with constant exposure to virtual communication and virtual management (e.g. to ensure successful delivery through others, especially parties outside of direct reporting lines)
  • Fluent in written and spoken English
  • Practical knowledge/application of MS Office tools, esp. Excel and Power Point
  • Practical AP knowledge and/or good understanding of Requisition-to-Pay systems and     processes will be a plus
  • Degree and/or professional qualification in Project Management will be a plus
  • Professional qualification as CI Lean/Six Sigma/PRINCE2 practitioner will be a plus
